How to organize a youth sports team: the manager's checklist

Whether you volunteered or got voluntold, running a youth team is a real operations job: fifteen-plus families, a season of events, money, equipment and feelings. This checklist is the order that makes the rest easier.

Week one: the foundation

  1. 1Collect one contact list: player, parents, emails, and who is allowed to pick up whom.
  2. 2Set up the roster with numbers and positions in whatever system you will use all season, not a spreadsheet you will abandon in November.
  3. 3Publish the schedule somewhere families can subscribe from their phone calendar, and commit to it being the single source of truth.
  4. 4Create your communication channels and tell families explicitly: schedule changes come from the schedule, news comes from the feed, chatter lives in chat.

Week two: the season machine

  1. 1Connect your association's calendar feed if one exists, so league changes flow in automatically.
  2. 2Set up attendance if you want RSVP visibility for games and practices.
  3. 3Create the team's YouTube channel now (live streaming takes a day to activate) so film and streaming are ready before the first game.
  4. 4Sort the money jobs: who collects what, and where fundraising progress is visible to families.

All season: protect your time

  • Answer questions once, in a place people can find again, then link to it.
  • Batch non-urgent updates into a weekly digest instead of nightly pings.
  • Delegate: an assistant or a parent can own photos, fundraising or attendance without owning everything.
